Why do you need construction contracts software?

Word docs in folders, retainage calculated manually in Excel, contract changes lost in email chains — this is the reality of most construction firms. Specialized software turns this chaos into a controlled process.

Lost contract changes

Client wants additional work, you quote it in email. Six months later no one remembers agreed changes. Change orders with approval workflow document everything.

Manual retainage

Retainage calculated in Excel, release forgotten. Result — held payments, unhappy contractors. Retainage management automates the process.

Limited contractor access

Contractor has no access to your system, so they write acts in Word and email them. You re-copy. Time wasted, errors inevitable.

No WIP reports

What's percent complete on each contract? How much more needs doing? Without Work-in-Progress snapshots these questions go unanswered.

Key features of contracts software

Construction Hub covers the full contract lifecycle with contractors — from signing to final acceptance.

Contracts with full context

Each contract linked to site, office, client, contractor, tender (if won from tender). Value, currency, dates, payment terms, warranty period, delivery terms — all structured.

Participants with online access

Add participants (contractor, client, subcontractor) with invitation tokens. Each gets email and unique secure link for online interaction with the contract.

Change orders with approval workflow

Contractor proposes change order (additional work, price change), you approve or reject. Full audit trail of every request and decision.

Retainage management

Automatic retainage calculation on every act. Release requests (request → approve → release) linked to proformas and tracking of remaining amounts.

WIP (Work In Progress) reports

Generate WIP snapshots — completion percentage, earned revenue, cost tracking. WIP history per point in time. Reports for accounting and bank.

Online acts from contractor

Contractor submits acts directly via their link. You review, approve, sign or reject — all with audit trail and timestamp.

How Construction Hub works for contracts

Four steps from contract to completion:

1

1. Create contract

Create from scratch or from a won tender (pre-fill). Fill parties, site, value, timeline, payment terms, warranty period, retainage percentage.

2

2. Invite participants

Add participants with email — they receive invitation tokens. Accept or decline participation. Each with a specific role (CONTRACTOR, CLIENT, SUBCONTRACTOR).

3

3. Execution and change orders

During execution the contractor submits acts online, and as needed — change orders. Every request goes through approval workflow before taking effect.

4

4. Retainage and completion

On each act retainage is auto-calculated. At the end (or on conditions) contractor requests release, you approve, linked to proforma.

Who is contracts software for?

Construction Hub is suitable for any firm working with multiple contracts:

General contractors

You manage dozens of subcontract agreements (MEP, HVAC, electrical). Each with change orders, retainage, acts. Centralized software makes full control possible.

Subcontractors

You receive contracts from GCs. You need to track real status of each, submit acts quickly, monitor retainage.

Investor companies

You commission GCs and have many change orders during execution. You need full approval workflow and audit trail.

Design offices (project management)

You manage contracts on behalf of the investor (PROJECT_MANAGEMENT type). Control execution, sign acts, approve change orders.

Frequently asked questions about contracts software

What contract types are supported?+

Construction Hub supports CONSTRUCTION, PROJECT_MANAGEMENT (on behalf of investor), RENTAL and other types. Each with different fields and lifecycle.

How does retainage work?+

On each act a percentage retainage is auto-calculated. You have a dashboard with total held amount, you can request release (request → approve → release) with linking to a proforma.

What are change orders?+

Change orders are contract modifications during execution — additional work, price change, scope change. They go through formal approval workflow (submit → review → approve/reject) with full audit trail.

How does the contractor submit acts?+

Add the contractor as a participant and enable public sharing. Contractor receives email with secure link, enters without registration and submits acts directly. You approve or reject.

What are WIP reports?+

WIP (Work-In-Progress) snapshots show contract completion percentage, earned revenue, remaining work. Generated periodically for accounting, bank, or audit.

Can I terminate a contract?+

Yes, via status update. System keeps full history, so in dispute or audit you have all data. Terminated contract is not deleted — it's preserved.

Is contract from a won tender supported?+

Yes. When selecting a tender winner, getContractPrefillData transfers tender data (value, terms, timeline, participant) into a new contract. All with one click.
